Executive Assistant

Role Summary

We are seeking a highly organized and results-oriented Executive Assistant to provide comprehensive administrative support to our Managing Partner. The right candidate will be a proactive problem-solver with exceptional communication skills and will directly assist our Managing Partner in managing his daily schedule, and ensuring the smooth operation of his day-to-day activities. This person will play a critical role in coordinating meetings and events, travel arrangements, and in handling confidential information with discretion and professionalism on behalf of our Managing Partner. The candidate will be a get-things-done professional who thrives in a fast-paced, dynamic environment. This position is based in Charlotte, NC. 

Primary Responsibilities

  • Manage the calendar of the firm’s Managing Partner, including scheduling internal and external meetings, appointments, and conference calls. Anticipate scheduling conflicts and proactively resolve issues. 

  • Attend meetings as needed to record minutes, track action items, and follow up on next steps. 

  • Arrange domestic and international travel accommodations, including flights, hotels, and transportation. Prepare detailed itineraries and ensure Managing Partner has all necessary documents and information for trips. 

  • Draft and edit correspondence, reports, presentations, and other documents as requested. 

  • Provide general administrative support to the Managing Partner, including managing expense reports, and maintaining filing systems. 

  • Serve as a representative of the Managing Partner. Build and maintain positive relationships with internal and external stakeholders, including clients, partners, vendors, and team members.  

  • Assist with logistics planning for fly-ins and Congressional/Agency meetings. Provide on-site event support as needed to Managing Partner.  

  • Perform special projects and other job-related duties as necessary.

Qualifications and Skills

  • Bachelor’s degree from an accredited university.   

  • Proven experience (3+ years) as an Executive Assistant or similar role, supporting C-level executives or senior management. 

  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. 

  • High attention to detail and can exercise critical thinking. 

  • Ability to provide excellent customer service and liaise with senior staff as well as external partners.  

  • Strong verbal and written communication skills. 

  • Discretion and confidentiality in handling sensitive information and communication. 

  • Ability to thrive in a dynamic environment and adapt to changing priorities. 

  • Familiarity with office equipment (e.g. printers and fax machines).  

  • Familiarity with Microsoft Office tools.


Location

This is a full-time remote position based in Charlotte, NC. Normal business hours are 9 AM – 6 PM ET, but this person must be able to work evenings or weekends if needed. Some domestic travel (10 percent) is required.

Compensation and Benefits 

  • This position range is $65,000-$125,000, with bonuses (merit-based). 

  • 401 (k) match program after tenure.
